The ultimate solution for syncing orders, customers, and inventory between distinct WooCommerce installations in real-time. Designed specifically for multi-store owners, warehouses, dropshipping networks, and backup systems.
Unlike basic export tools, WooCommerce Order & Customer Sync works instantly. When an order is placed on one site (the Sender), it uses secure, encrypted webhooks to transmit that data to another site (the Receiver) within seconds. This ensures your inventory is always up to date and your fulfillment teams have the data they need immediately.
Why Sync Your Stores?
Running multiple WooCommerce stores can be a logistical nightmare if you don’t have a centralized way to manage data. This plugin solves common problems:
- Centralized Fulfillment: Gather orders from 5 different regional stores into one “Master” store for your warehouse team to process.
- Backup & Staging: Automatically replicate live orders to a staging site for testing without risking your production data.
- Dropshipping: Automatically push orders from your retail site to your supplier’s WooCommerce site.
- Data Redundancy: Keep a real-time copy of all your customer data on a separate server for security.
Key Features
- Real-Time Sync: Orders are synced immediately when created or updated. No cron jobs waiting for 15 minutes.
- Secure Encryption: All communication is signed with HMAC-SHA256, ensuring that only your trusted sites can send data.
- Bi-Directional Capability: You can set up cross-syncing by installing the plugin on both ends (Site A sends to B, Site B sends to A).
- HPOS Compatible: Built for the future of WooCommerce with full High-Performance Order Storage support.
- Smart Customer Matching: The plugin checks for existing customers by email address to prevent duplicate accounts.
- Detailed Logs: Built-in logging system tracks every successful sync and every error, so you always know what’s happening.
Installation
Getting started is easy. You need to install the plugin on both the sending and receiving websites.
- Download the plugin ZIP file.
- Upload to your WordPress Admin: Plugins > Add New > Upload Plugin.
- Activate the plugin.
- Navigate to WooCommerce → Order Sync in the admin dashboard to access the settings.
Requirement:Ensure both sites are running WooCommerce 5.0 or higher and have a valid SSL certificate (HTTPS) for secure communication.
Configuration Guide
The plugin uses a direct “Handshake” method. One site acts as the Sender (Source of Truth) and the other as the Receiver (Destination).
Step 1: Sender Site Setup
On the site where the orders usually occur:
- Go to WooCommerce → Order Sync.
- Set the Connection Mode to “Sender”.
- The system will generate a unique Secret Key. Copy this key; you will need it for the receiver.
- In the Receiver URL field, enter the full homepage URL of your *Destination* site (e.g.,
https://warehouse-site.com). - Select what you want to sync: Orders, Customers, or Both.
- Click Save settings.
Step 2: Receiver Site Setup
On the site that should receive the orders:
- Go to WooCommerce → Order Sync.
- Set the Connection Mode to “Receiver”.
- Paste the Secret Key you copied from the Sender site into the Secret Key field.
- Click Save settings.
Step 3: Test the Connection
Once both sides are saved with the same Secret Key:
- Go back to the Sender site.
- Create a test order (or update an existing one).
- Check the logs on the Sender site to see if the “Webhook sent” message appears.
- Check the Receiver site to see if the order appeared!
Usage & Workflows
Automatic Sync
Once configured, the sync process happens automatically in the background. Here is exactly what is synced:
- Order Status: Transitioning an order from “Processing” to “Completed” on the Sender will update the Receiver.
- Line Items: Product names, quantities, SKUs, and prices are synced exact-to-the-penny.
- Customer Data: Billing and Shipping addresses are synced. If the customer exists on the Receiver (matched by email), the order is linked to them. If not, a new customer is created seamlessly.
- Order Notes: Customer notes and internal notes are synced to keep your teams in communication.
Manual Sync Tool
Sometimes you need to sync orders that existed before you installed the plugin, or perhaps a sync failed due to server downtime. The Manual Sync tool is perfect for this.
Navigation: WooCommerce > Order Sync > Tools Tab
Simply enter the Order ID (found in the main Orders list) and click “Sync Now”. The plugin will attempt to push that specific order immediately and show you the result.
Activity Logs
The plugin keeps a detailed log of the last 100 sync events. This is vital for troubleshooting.
- Green Status: Successful transmission (HTTP 200).
- Red Status: Failed transmission (e.g., HTTP 404, 500, or Invalid Signature).
Frequently Asked Questions
Does it sync products?
No, this plugin focuses exclusively on Orders and Customers. We recommend using a separate product migration tool or simply creating your products on both sites. However, even if a product does NOT exist on the Receiver site, the order will still sync! The item will be listed on the order, just not linked to a product page.
What happens if the Receiver site is down?
If the Receiver site cannot be reached, the Sender will log a connection error (timeout or 5xx error). The automatic sync does not currently retry heavily to avoid slowing down your site, but you can use the Manual Sync tool to retry once the Receiver is back online.
Is specific order meta synced?
Yes! We sync all standard WooCommerce order meta. If you have other plugins adding custom fields to the order (like “Delivery Date” or “Gift Message”), these are typically stored in the `post_meta` table and will be synced automatically.
Troubleshooting
Issue: “Invalid Signature” error in logs.
This means the Secret Key on the Sender does not match the Secret Key on the Receiver. Re-copy the key from the Sender and save it on the Receiver again.
Issue: “HTTP 404 Not Found”
Check the Receiver URL setting on the Sender. It must be the homepage URL of the receiver site (e.g., https://myshop.com), not the admin URL or login URL.
Issue: Orders appear but no emails are sent on Receiver.
By default, WooCommerce might suppress emails for programmatically created orders to avoid spamming customers. Check your WooCommerce Email settings.
